What personal data we collect and why/how we collect it

Contact forms

We have a number of contact forms on our website. The data collected in these contact forms is used solely for the purposes of supporting you in your reason for submitting the form. Our forms request a variety of different types of information, but that information is held in confidence by our company and will not be distributed to anyone not directly employed by CDS, nor used for purposes beyond those required to address the topics or concerns detailed in your submission.

Provided information is considered private and you can at anytime request a copy of any information kept on file or request that we remove said information if it exists. Submitted information may be deleted upon receipt and review, or kept, either in perpetuity or until such a time as it has served its purpose or the submitter requests its removal.

Cookies

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

Who we share your data with

Certain third party vendors that we use in rendering services to our clients may be tasked with handling our client data as it pertains to our business operations. This information is trusted to these vendors based on their own data management and privacy policies and is not used or accessed by persons or entities outside of CDS or its direct partners or affiliates for purposes other than rendering services to our clients.

Unless required by law or court order, your data is not shared with anyone not directly employed by or, in the case of independent contractors, affiliated with and bound by the policies of CDS Office Technologies.

How long we retain your data

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Client data is retained indefinitely or for as long as that client remains partnered with CDS and is using our services. A copy of this information can be requested at any time and will be provided to the client should the decision be made to terminate the partnership with CDS.

Note: account registration is disabled for this site; only employees of CDS or its affiliates have accounts for this website.

What rights you have over your data

Accounts on this site containing personally identifiable information are restricted and unavailable to persons not employed by CDS or its affiliates. As such, this information will be maintained on the site or its subdomains for the duration of a person’s employment with CDS, or until that person requests removal from the site.

Guest authors submitting posts to be considered for inclusion in our blog may be asked to provide certain attribution information (which may be personally identifiable) to be tied to the submitted posts. This information may be required in order to display the submitted content, so a request to remove the personally identifiable information may lead to the removal of submitted posts as well.

Where we send your data

reCAPTCHA & Spam filtering

Form submissions are analyzed by reCAPTCHA to determine the validity of the submission. The reCAPTCHA system relies on cookies to help identify behavior indicative of non-human or abusive entities and seeks to prevent abusive or otherwise nefarious usage of this website’s resources. Some of the behaviors reCAPTCHA recognizes and tracks are typing patterns, mouse clicks/touches on a page, default language of the browser, browser plugins, other Google cookies, and the answers to form question fields. We use reCAPTCHA on this site to help prevent abuse of our site, which in turn helps us better protect the site’s visitors. We do not track personally identifiable information through reCAPTCHA.

We may also use other third-party spam prevention systems to analyze comment and/or form submissions to screen against abusive, fraudulent, nefarious, or inappropriate content. These systems are designed and deployed for the protection of our website and its users. We only use well-regarded, trustworthy systems for these purposes.

Google Analytics

We use Google Analytics on this website to help us better understand user behavior and to help us continue to make our website a better, more reliable, more user-friendly resource for our clients. Other business software

We use a number of services to track work orders, sales, client interactions, support tickets, and so on. This includes services such as:

  • AutoTask: IT support ticket system
  • E-Automate: Enterprise resource planning (ERP) software, used for accounting, contacts, inventory, purchasing and service
  • Microsoft 365: communications system (email, chat) and data storage & processing

Other similar services may be in use as well. The data submitted to these services is stored securely according to and, when possible, exceeding recommended industry standards and is not to be used by any person or entity outside of CDS or its direct partners and affiliates. This information is stored and used as required for the rendering of services in support of our clients. Some non-personally identifiable information may be used to help identify trends or track adoption/use of certain services or products over time.

Your contact information

If you submit your contact information through one of our contact forms or by other means, including over the phone, in an email, or through our chat system, that information may be added to internal contact lists, client management systems, and/or CRM software. This information will not be distributed or disseminated outside of CDS or it’s direct partners or affiliates, excepting legal requirements, without your consent.

Email Newsletter

If you elect to subscribe to our monthly email newsletter, the information necessary to deliver that newsletter to you will be added to our contact database. To have your information removed from the newsletter list, you can click the “SafeUnsubscribe” link at the bottom of the message.

How we protect your data

As an information technology firm, we understand the importance of data protection. We have strict policies and numerous preventative measures—both hardware- and software-based—in place designed to protect our data, as well as yours.

What third parties we receive data from

  • Google Analytics: as mentioned above, we use Google Analytics to help us understand user behavior in order to improve the user experience of our website.
  • YouTube: we use YouTube to serve videos on various pages of the site. YouTube may track your usage if/when these videos are played.
