Erasing Data From Your Copier/Printer/MFP

In an effort to help CDS customers understand the security aspects of data that may potentially be stored on a copier/printer/multi-function device internal hard disk drive (HDD), we have outlined answers to some frequently asked questions below:

Is CDS responsible for erasing information stored on the machines HDD?
CDS has a standard procedure in place to erase all disk drives on devices returned to our facility (via end-of-lease or trade-in) to eliminate any chance of customer data getting extracted for malicious intent.

When we use the scanner, does the machine store the image?
Unless a user specifically stores a scan to the HDD of the machine the image is not saved for future access or use.

When does the machine use the HDD to store information?
The HDD is used only as an overflow for large copy/print jobs. As soon as the job is completed the data is no longer stored on the device.

Does the machine rewrite data over and over on the same HDD?
Internally, the HDD is set to do a multi-pass rewrite at certain intervals as determined by the operating system of the device.

What is the process that CDS does to erase customer’s information?
When CDS picks up a device and it has a HDD installed we format the drive before it leaves our office to be disposed or returned to a leasing company. This is a standard security policy CDS Office Technologies has endorsed company-wide as a result of growing security concerns.

Will CDS erase the HDD on machines that are not returned to a leasing company or that are scheduled for disposal by the customer?
If the customer desires CDS to erase their hard drives, there may be a service call charge to wipe the HDD clean.
